The problem with multiple providers
A mid-sized facility typically deals with several service providers: one for HVAC, another for electrical, a third for plumbing, a fourth for refurbishment, plus suppliers for consumables and spares. Each has its own contract, contact, pricing cycle and schedule.
The real cost of that fragmentation is not the pricing — it is the administrative time and the grey areas. When a water leak damages an electrical panel, whose job is it? When an air conditioning repair needs minor civil work to open access, who does it? Those boundaries between trades are exactly where work gets dropped and delayed.
General maintenance resolves this by making the whole scope one party's responsibility. A problem is reported once and dealt with, regardless of which trade it happens to fall in.
Preventive maintenance at facility level
Across a whole facility, preventive maintenance means having a register of everything needing attention and a schedule saying when each item is done. Building that register is the first thing we do: an inventory of equipment and systems, an assessment of current condition, and classification by the operational impact of failure.
That classification matters because resources are finite. A machine whose failure stops an entire line should not be treated the same as a fan in a side store. The resulting schedule allocates attention in proportion to impact rather than spreading it evenly.
Routine visits then become work of known content: a checklist per system, recorded readings, and a report of what was done and what needs following up. As visits accumulate, each asset builds a history that makes repair-versus-replace decisions data-based rather than impressionistic.
Handling breakdowns
Alongside planned work there is always the unplanned. How it is handled is agreed in the contract: how a fault is reported, to whom, and the response time agreed for each priority level.
We generally classify reports into tiers: what stops operations or presents a safety risk; what reduces efficiency without stopping anything; and what is an improvement that can be scheduled. That classification stops a non-urgent report from consuming a resource that should have gone to a critical one. Whatever is agreed is documented in writing before work begins, so no term rests on a verbal understanding.

Each of these has its own detailed page setting out its scope — but the practical benefit of a general maintenance contract is that the boundaries between them stop being your problem. The team that surveys determines what each trade needs to do, and the coordination is internal.
Spare parts and consumables within the service
This is where dealing with a party rooted in supply matters most. A conventional maintenance contract ends at identifying the part needed; then a separate purchasing cycle starts inside your company — request quotes, compare, raise a PO, wait for delivery — while the machine sits idle.

What you end up with
Beyond the work itself you get a written record: the equipment inventory, the maintenance schedule, visit reports, and the accumulated history of faults and repairs. That record serves several purposes — it supports the annual maintenance budget, informs replacement decisions, and is frequently requested in internal and safety reviews.
