Why MRO is a difficult category
The difference between supplying a raw material and supplying maintenance items is one of nature, not scale. A raw material is a single line, large quantity, fixed supplier. MRO can be one request containing forty different items, each in small quantity, originating from ten different sources.
The result is an order of modest value carrying a high administrative cost to execute. That is precisely why consolidating this category with one supplier creates real value: the saving is not in the unit price but in the number of administrative cycles.
Categories covered
Tools: hand tools of all kinds, power tools, measuring instruments, and specialist workshop equipment. Consumables: industrial cleaning materials, greases and oils, welding consumables, abrasives and cutting discs, adhesives and sealants.
General spares: bearings, belts, couplings, oil seals and gaskets, filters. Fasteners across sizes and grades — an item that looks trivial but where the wrong grade or material is a common cause of repeat failures.
Electrical and plumbing items used in day-to-day maintenance: cables, breakers and switches; pipework, fittings and valves.
Sourcing by part number, and equivalents
Most MRO items carry a manufacturer's part number. Working from that code is the most precise route because it removes all ambiguity about specification. Send us the code and we will source the original or an equivalent.
In reality, though, the code often isn't available: the part is old, the catalogue is lost, or the item was fitted years ago and nobody knows its origin. In those cases we work from a photograph, from dimensions, or from a description of what the part does — that is the special sourcing service.
Where an alternative is the practical answer — because the original has a long lead time or is discontinued — we present it with its specification and how it differs. The technical decision to accept it stays with your team, who know the installation conditions best.
Recurring supply and stock levels
Facilities holding maintenance stock face a familiar equation: large stock ties up capital and occupies space, small stock exposes you to a stoppage while waiting for an item of trivial value.
The practical approach is identifying the critical items — those whose absence stops production — and holding those, while relying on fast supply for everything else. A list of recurring items can be supplied on a schedule or at a reorder point. Whatever is agreed is documented in writing before work begins, so no term rests on a verbal understanding.
Supply tied to maintenance work
When maintenance and supply sit with one party, the usual gap between diagnosing a fault and getting the part disappears. The technician who inspected the machine sets the specification, and what arrives is exactly that — which is not always the case when the description passes through several parties before reaching a supplier.
Classifying items by criticality
Not all maintenance items carry equal weight. An item whose absence stops an entire production line is a different proposition from one you could do without for a week, even where their prices are similar.
Classifying on that basis is the first practical step to organising maintenance stock: critical items held at a safety level, mid-tier items ordered on a cadence, and the rest ordered on demand relying on supply speed.
