The problem is not the price

Office supplies rarely move the budget, but they frequently irritate the administration. The reason is that requests arrive piecemeal: one department orders today, another next week, a branch buys locally because it needed something urgently.

The result is a high count of small transactions, no visibility of actual consumption, and unexplained price differences between branches for the same item. The remedy is not negotiating a better unit price — it is organising the cycle itself.

Pens, notebooks, folders, clips, staplers, scissors and general desk items. These consume at a steady rate and become easy to forecast once a few months of history exists.

Paper deserves separate attention: different sizes and weights for different uses. The wrong weight for a printer is a common cause of jamming and of wear on the feed rollers, and saving on paper weight is usually paid back later in printer servicing.

Print consumables

Ink and toner cartridges raise the recurring original-versus-compatible question. There is no single answer: a printer under warranty may have that warranty affected, high-quality output may require originals, while routine internal printing at volume can make compatibles entirely sensible.

The result is consumption above the real requirement, and items ordered while stock of the same thing sits in another cupboard.
