Timing is the critical variable
In an operating facility you can receive a quantity and hold it in a store. On a site there is no store in the same sense — there is limited space, equipment movement, weather, and exposure to loss.
So phased delivery tied to the programme beats a single early delivery, even where the latter carries a better unit price. Material arriving a month early costs more in reality than its price, once space, damage and loss are counted.
We approach site requests on that basis: reviewing the programme for the items concerned and proposing a phased delivery that balances guaranteed availability against how much sits unused on site. Whatever is agreed is documented in writing before work begins, so no term rests on a verbal understanding.
Materials and consumables
General building materials, civil works items, finishing materials, insulation, adhesives and construction chemicals. Specifications differ by construction stage, and pinning the exact specification before delivery prevents problems that can later only be corrected by demolition.
Consumables — cutting and grinding discs, welding materials, brushes and rollers, limited-life tools — are consumed at a rate that resists precise forecasting, so they need a fast reorder route more than they need an accurate up-front estimate.
Tools and site equipment
Hand and power tools, measuring and levelling instruments, scaffolding, ladders and small handling equipment. On site, tools take harsh use and a higher loss rate than in a fixed workshop — a factor that belongs in the quantity calculation.
Measuring instruments deserve particular attention: an inaccurate instrument at the start of work produces an error that compounds through the stages and costs many times the price of the instrument to correct.
Site securing and safety
Barriers, warning tape, signage, safety netting, and materials for securing openings and edges. These are needed from day one rather than after an incident, and they are frequently ordered late because they do not appear in the execution line items.
Alongside them, personal protective equipment for the workforce, supplied within the same order. A site that mobilises safety equipment together with its materials avoids the familiar gap between work starting and protection being available.
Working from a BOQ
Most site requests arrive as a specification document or a bill of quantities. Send the file as it is — Excel or PDF — and you receive a quotation mapped line for line against your original numbering, which makes internal comparison straightforward and spares your team from re-ordering the items.
Where the bill contains items whose specification is unavailable or carries a long lead time, we say so explicitly with a proposed alternative and how it differs, rather than pricing a line that cannot be delivered within the period required.
Coordination with the site team
Supplying an active site succeeds or fails at the site gate, not at the warehouse. A delivery arriving when nobody is there to receive it, on a vehicle unsuited to the site access, or without coordination around equipment movement, becomes a problem rather than a solution.
So we agree the site contact, the delivery window and the access requirements in advance — particularly for sites inside operating facilities, where security procedures, entry permits and defined windows for truck movement all apply.
On longer projects an agreed delivery schedule reviewed as execution progresses is worth having, because programmes change — and a change to an item's date on the programme needs to flow through to its delivery date rather than being discovered late.
Waste and reuse
Construction materials generate waste — cartons, wrapping, offcuts and surplus. On a constrained site that waste becomes an operational problem, obstructing movement and creating safety risks if there is no arrangement for removing it.
We keep excess packaging down in the delivery plan where possible, and coordinate the return of pallets and reusable containers. It is a small line in the arithmetic but a tangible one in site cleanliness and how freely work moves through it.
